[HACCP vanilla supplier guide](/blog/vanilla-supplier-haccp) explains what the hazard analysis should cover for cured beans.

### 3. Halal certification

If you sell into Halal markets or supply manufacturers who require it, ask for the Halal certificate number. In Indonesia, Halal certificates are issued by BPJPH (Badan Penyelenggara Jaminan Produk Halal), which runs a public search on its [official site](https://bpjph.halal.go.id/). Check that the company name matches your supplier and that the certificate lists the products you are buying.

### 4. FDA food facility registration (for US buyers)

A facility that manufactures, processes, packs or holds food for consumption in the United States must be registered with the US Food and Drug Administration. Two points matter for buyers:

p]:inline [&>p]:mb-0">Registration is not approval. FDA does not certify suppliers and does not approve vanilla beans as a product.

- p]:inline [&>p]:mb-0">[FDA does not issue registration certificates](https://www.fda.gov/food/guidance-regulation-food-and-dietary-supplements/registration-food-facilities-and-other-submissions) and does not recognize certificates sold by private companies. An "FDA certificate" with a seal on it is a warning sign, not a credential.

Ask the exporter to confirm its registration in writing. The US importer also has its own obligations, including verifying foreign suppliers; our [US import guide](/import-vanilla/united-states) covers them.

### 5. Lab evidence: a Certificate of Analysis for every lot

A certificate tells you about the company. A CoA tells you about the beans you are paying for. Ask for a CoA from an independent laboratory for the specific lot, showing the lab name, test date and lot number. The minimum parameters are moisture and vanillin content; your QA team may add microbiology or contaminant tests.

Compare the results with the grade you were quoted. These are the specifications we work to:

GradeLengthMoistureVanillinGourmet A+ (Planifolia or Tahitensis)18 cm and above25-35%Planifolia min 1.8%; Tahitensis min 1.5%Gourmet A (Planifolia or Tahitensis)14 to 17.9 cm25-35%Planifolia min 1.8%; Tahitensis min 1.5%Extraction Grade10 to 20 cm, splits accepted10-25% (usually below 20%)min 0.8-1.2%, depending on type

Gourmet Planifolia usually tests at 1.8-2.4% vanillin, and some lots reach up to 2.8%. Be skeptical of a supplier who promises a very high vanillin figure for every lot, or who cannot show the lab report behind the number. Our [grading guide](/blog/vanilla-bean-grading-system) explains how grade, length and moisture relate, and our article on [vanilla purity testing](/blog/vanilla-bean-testing-for-purity) covers the tests that detect added synthetic vanillin.

### 6. Export documents for each shipment

Every vanilla shipment from Indonesia should travel with:

- p]:inline [&>p]:mb-0">Commercial invoice and packing list

- p]:inline [&>p]:mb-0">Air waybill

- p]:inline [&>p]:mb-0">Phytosanitary Certificate, issued for that consignment by Indonesia's quarantine authority (Barantin)

- p]:inline [&>p]:mb-0">Certificate of Origin (SKA), when your country's preferential tariff requires it

- p]:inline [&>p]:mb-0">Certificate of Analysis for the shipped lot

Before the first order, ask for a redacted copy of a recent phytosanitary certificate. It shows the exporter ships regularly and knows the process. On your own shipment, the product description, quantity and consignee on the certificate must match your invoice. The full document list by destination is in our [vanilla import checklist](/blog/vanilla-export-compliance-checklist).

### 7. Certifications your own specification may require

Some buyers need certifications beyond food safety: USDA or EU Organic, Fair Trade, Rainforest Alliance, Kosher, BRCGS, FSSC 22000 or ISO 22000. Each is issued under a specific scheme, and each scheme keeps a register of certified companies. If a claim on your label depends on one of them ("organic", for example), the exporter's certificate must be valid and its scope must include vanilla. Verify it in the scheme's register yourself; a supplier's word is not enough.

We do not hold Organic, Fair Trade, ISO 22000, Kosher, BRC, FSSC 22000 or Rainforest Alliance certification, and we say so before a quotation, not after. If your label needs one of these, work with a supplier that holds it and check the register.

## How to verify a certificate, not a logo

Run the same five checks on every certificate you receive:

- p]:inline [&>p]:mb-0">**Name and address.** They must match the legal entity you are contracting with. A certificate issued to a different company (a farm group, a broker or a sister company) does not cover your supplier.

- p]:inline [&>p]:mb-0">**Scope.** The products and site on the certificate must include what you are buying and where it is packed.

- p]:inline [&>p]:mb-0">**Dates.** Check the issue and expiry dates against your delivery schedule. If the certificate expires before your shipment, ask for the renewal plan.

- p]:inline [&>p]:mb-0">**Issuer.** Look up the issuing body itself and search its register for the certificate number.

- p]:inline [&>p]:mb-0">**Link to the lot.** The lot number on the CoA should match the lot number on the packing list and cartons.

Keep a record of each check. Your own customers and auditors may ask for it later.

## Test the product before you commit volume

Documents prove a system exists. Only the beans prove it works.

- p]:inline [&>p]:mb-0">**Order a sample.** Our samples are 50-100 g and paid; we do not send free samples. That is enough to check length, appearance, aroma and pliability, and to run your own moisture or vanillin test.

- p]:inline [&>p]:mb-0">**Compare with the specification.** Send the sample to your lab, or compare its look and feel with the grade table above.

- p]:inline [&>p]:mb-0">**Check consistency.** Before signing a contract, ask for a second sample from a different lot. Large differences in color, aroma or moisture between lots point to weak grading discipline.

- p]:inline [&>p]:mb-0">**Start with a trial order.** Our MOQ is 1 kg per product (1 liter for concentrate), so a first commercial order can stay small until the supplier has proven itself.

## Commercial checks that reveal an unreliable exporter

**Capacity versus your volume.** Ask how much the exporter can prepare per batch and how often. We work in batches of up to 3,000 kg, and volumes above 100 kg are confirmed per contract. A supplier who promises any quantity at any time is probably buying from others to fill the order, which weakens traceability.

**Direct sourcing versus brokers.** Ask where the beans come from and who cures and grades them. Brokers can be convenient, but blended lots from many sources make a quality problem hard to trace. Our beans come from partner farms in Java, Bali, Sulawesi and Papua (our Tahitensis is grown in Papua) and are graded at our warehouse in Purbalingga, Central Java. For how traceability records should work, see our [vanilla supply chain guide](/blog/vanilla-supply-chain-management-services).

**Price reality.** Our reference prices, ex-warehouse Purbalingga, are USD 87-120/kg for Gourmet Planifolia and Tahitensis and USD 50-85/kg for Extraction Grade; the final price is on the quotation. A quote far below the going rate for the stated grade deserves questions about moisture, length and vanillin before it deserves an order.

**Shipping terms.** Confirm the Incoterm and the transport mode in writing. We ship by air only (DHL Express and air cargo partners), usually 3-7 days after export clearance, quoted EXW or DAP, with DDP on request.

**Payment instructions.** Be wary of a bank account in a name that differs from the exporter's legal name, or of instructions that change by email after the quotation. Our guide to [vanilla payment terms](/blog/vanilla-payment-terms-for-export) covers safer structures for a first order.

**Responsiveness and references.** Note how quickly and how precisely the supplier answers technical questions. Ask for trade references from buyers in your sector and contact them about delivery times, consistency and how complaints were handled. A supplier that says yes to everything, including certifications it cannot document, has already told you what you need to know.

## Put the checks into the contract

Verbal assurances do not help when a shipment arrives off-spec. Write these points into the purchase contract or order confirmation:

- p]:inline [&>p]:mb-0">**Specification:** grade, length range, moisture range and minimum vanillin, with the test method or laboratory.

- p]:inline [&>p]:mb-0">**Documents:** the shipment documents listed above, including the CoA for the shipped lot.

- p]:inline [&>p]:mb-0">**Inspection rights:** your right to test on arrival and the time window for raising a claim.

- p]:inline [&>p]:mb-0">**Remedy:** what happens if a lot fails the specification (replacement, credit or refund) and any liability limit.

- p]:inline [&>p]:mb-0">**Delivery terms:** Incoterm, transport mode and expected dispatch window.

- p]:inline [&>p]:mb-0">**Force majeure and disputes:** which events excuse late delivery and which forum settles disagreements.

## What to send when you request a quote

A precise request gets a precise answer, and it shows you which suppliers read carefully. Include:

- p]:inline [&>p]:mb-0">Product and grade (for example, Gourmet A Planifolia or Extraction Grade)

- p]:inline [&>p]:mb-0">Quantity per shipment and expected frequency

- p]:inline [&>p]:mb-0">Destination country and city

- p]:inline [&>p]:mb-0">Documents and certifications you need (for example Halal, CoA, Certificate of Origin)

- p]:inline [&>p]:mb-0">Your target specification: moisture range and minimum vanillin

Then compare the replies. Note who confirms each document, who asks clarifying questions and who states plainly what they cannot provide.

## How we answer these checks

As a worked example, this is what we show a buyer who runs the checks above:

- p]:inline [&>p]:mb-0">PT Supplier Vanilla Indonesia, sourcing vanilla since 2010 and incorporated as a PT in 2019, with office and warehouse in Purbalingga, Central Java

- p]:inline [&>p]:mb-0">HACCP certification

- p]:inline [&>p]:mb-0">Halal certificate from BPJPH, No. ID33410021461350425, for our Natural Vanilla Concentrate (whole beans and powder are not Halal certified)

- p]:inline [&>p]:mb-0">FDA food facility registration

- p]:inline [&>p]:mb-0">Independent testing by Sucofindo and a Certificate of Analysis for every commercial lot

- p]:inline [&>p]:mb-0">Phytosanitary Certificate, Certificate of Origin (SKA) when required, air waybill, commercial invoice and packing list for each shipment

We do not hold Organic, Fair Trade, ISO 22000, Kosher, BRC, FSSC 22000 or Rainforest Alliance certification.

## Frequently asked questions

### Which certifications should an Indonesian vanilla exporter have?

For food use, expect HACCP at minimum, plus Halal if you sell into Halal markets and FDA food facility registration if you ship to the United States. Organic, Fair Trade or Kosher matter only if your own product claims depend on them, and then you should verify them in the scheme's register.

### Is FDA registration the same as FDA approval?

No. FDA food facility registration means the facility is on file with FDA. FDA does not approve suppliers or issue registration certificates, so treat any "FDA certificate" sold by a private company as a red flag.

### How do I check that a Halal certificate is genuine?

Ask for the certificate number and search it on the BPJPH public site. Confirm that the company name matches your supplier and that the certificate lists the products you are buying.

### What should a vanilla Certificate of Analysis include?

At minimum: the lab name, test date, lot number, moisture content and vanillin content. The lot number must match your packing list. For Gourmet Planifolia, vanillin should be at least 1.8%; for Extraction Grade, moisture is usually below 20%.

### Can I get a free sample to evaluate a supplier?

Not from us. Our samples are 50-100 g and paid. A paid sample gives you real beans to grade and test before you commit to volume.

The fastest way to judge an exporter is to put its beans next to its paperwork. [Order a 50-100 g sample](/sample-order) of our Gourmet or Extraction Grade beans and check it against the specifications in this guide.

## Frequently Asked Questions
Everything you need to know about premium vanilla sourcing and quality standards.

Sourcing & BuyingQuality & GradingUsage & StorageHealth & DIY

### How much does vanilla bean cost per pound?

Our reference price for Gourmet Grade A Planifolia and Tahitensis is USD 87 to 120 per kg (about USD 39 to 54 per pound), and Extraction Grade is USD 50 to 85 per kg (about USD 23 to 39 per pound), ex-warehouse Purbalingga, Indonesia. Prices move with the Madagascar and Indonesian harvests, so the firm price is set on your quotation. The minimum order is 1 kg, shipped by air.

### Why is vanilla so expensive?

Vanilla is the second most expensive spice in the world because it is incredibly labor-intensive. Each flower must be hand-pollinated on the single day it blooms, and the curing process takes 6-9 months of careful sun-drying and sweating to develop the complex vanillin flavors. Climate volatility and the high demand for natural flavoring in the global market also contribute to its premium price point.

### Where do major vanilla brands source their beans?

Major global brands primarily source from Madagascar (Bourbon vanilla) and Indonesia. While Madagascar is the largest producer, Indonesia is increasingly preferred by premium artisanal brands for its unique, bold flavor profiles that feature floral and smoky notes.

### How to tell if you're getting ripped off on vanilla prices?

To avoid overpaying, compare market rates regularly and verify the weight and moisture of your purchase. Some suppliers sell 'exhausted' beans: pods that have already been used for extract production and then redried. If the beans lack aroma or feel like dry wood, they have lost their value. Always look for supple, oily pods that indicate high vanillin content and proper curing.

### How do I know if a vanilla supplier is trustworthy?

Trust is built on transparency. A reputable supplier will have a verifiable physical presence in the sourcing region, positive feedback from long-term B2B clients, and a willingness to provide pre-shipment samples. At SupplierVanilla.com, we provide full transparency from the plantation to your warehouse, ensuring every batch meets the agreed specifications.

### How to negotiate better prices on bulk vanilla orders?

Securing the best rates for bulk vanilla typically involves long-term planning. Establishing 'off-take' agreements or multi-year contracts allows suppliers to lock in prices for you. Consolidating orders to increase volume also reduces per-kilogram logistics costs. Providing a clear forecast of your annual needs helps suppliers offer their most competitive 'first-hand' pricing.

### How to test vanilla quality before making a large purchase?

Before committing to a bulk order, request a representative sample. Perform a 'bend test': the bean should be flexible enough to wrap around your finger without snapping. Check the aroma for depth and complexity; it should never smell like alcohol or chemicals. Finally, check for 'vanilla caviar' density by splitting a test bean to see the seed concentration.

### How do I know if I'm overpaying for vanilla beans?

Stay informed about 'green vanilla' prices during the harvest seasons in Madagascar and Indonesia. If the market stabilizes but your supplier's prices remain high, you may be paying for unnecessary broker margins. Sourcing directly from an Indonesian exporter like us ensures you are paying the true market value for premium quality.

### Where to buy high-quality vanilla beans online?

Finding a reliable supplier is crucial for maintaining product consistency. Look for transparency, certification (like HACCP), and direct-from-source origins. SupplierVanilla.com offers premium Indonesian vanilla beans shipped worldwide, ensuring you get the freshest pods with full traceability. We specialize in B2B supply, providing gourmet kitchens and food manufacturers with the highest quality vanilla direct from our estates.

### Best questions to ask a vanilla supplier before buying?

When vetting a vanilla supplier, always ask about the specific origin, grading standards (Grade A vs B), moisture content percentage, and available food safety certifications. A trustworthy supplier should be able to provide recent harvest data, phytosanitary certificates for international shipments, and clear information about their ethical sourcing practices and farmer relations.

### Why do some vanilla suppliers have better prices?

Price discrepancies often stem from the supply chain structure. 'First-hand' suppliers like SupplierVanilla.com work directly with farmers, eliminating multiple layers of brokers. Be cautious of 'too good to be true' prices, which often indicate old stock, lower moisture levels (dry beans), or synthetic adulteration. Real value comes from balancing price with moisture content and aromatic intensity.

### What should a good vanilla supplier offer?

A professional vanilla supplier should offer more than just a product. Look for flexible order quantities (MOQ), robust export documentation support, consistent supply reliability, and expert guidance on harvest cycles. They should also provide diverse formats such as whole beans, pure vanilla powder, and bulk extracts to suit different manufacturing needs.

### What certifications should I look for in a vanilla supplier?

For food safety and international trade, prioritize suppliers with HACCP certification. For global export, a Phytosanitary Certificate is mandatory to prove the product is pest-free. Depending on your market, you may also require Organic (USDA/EU), Fair Trade, or Halal/Kosher certifications to meet specific consumer demands and ethical standards.

### Are small-batch vanilla suppliers better than large companies?

Small-batch, origin-based suppliers often provide superior quality control. Unlike large corporations that blend harvests from thousands of unknown sources, we select specific lots based on flavor profile, moisture, and size. This results in a more consistent and premium 'single-origin' character that is highly valued in the specialty food and beverage industry.

### What food-grade vanilla products are actually available?

Beyond whole beans, professional buyers can source pure vanilla powder (made from ground whole beans), vanilla seeds (for visual appeal), vanilla paste, and various concentrations of vanilla extract. Each format is optimized for specific uses: powder for dry mixes, beans for gourmet cooking, and extracts for high-volume industrial baking.
